We are committed to protecting and respecting your privacy. This statement gives you information about why and how we are using your personal data for EWGLAM 2026 Registration, and what rights you have around this. Source of the personal data

You provided your personal data to us by completing the online registration form for EWGLAM 2026.

Purposes of the processing

We will use your personal data to in order to:

  • Register you as an attendee for EWGLAM 2026
  • Communicate event details, updates, and logistical information
  • Organise event sessions, presentations, and scheduling
  • Arrange catering and other attendee-specific requirements (including dietary needs)
  • Creating name badges for those attending in-person
  • Share relevant information with authorised event organisers, the EUMETNET C-SRNWP Model Manager, and SRNWP Expert Team members to coordinate participation

The information provided may be used internally for audit or other compliance purposes.

Your personal data will not be further processed in a manner that is incompatible with the purpose for which it was collected unless it is required or permitted by law.

Profiling

The Department will not use any personal data collected from you in respect of EWGLAM 2026 registration for automated decision-making, or for profiling purposes.

Lawfulness of processing

This processing of your personal data is lawful under Article 6 (1) (a) the data subject has given consent to the processing of his or her personal data for one or more specific purposes.

Security of your personal data

The Department implements appropriate technical and organisational measures to protect your information from unauthorised access. However, despite these efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse. In the event that your personal data is compromised as a result of a breach of security, the department’s breach management policy and procedures will be implemented.

Recipients of the data

Information received via the EWGLAM registration form, via one method, a Microsoft online form. The data is collated into a spreadsheet using a Microsoft Form page, which a small number of relevant staff have access to.

Personal data will be shared with authorised event organisers, including the EUMETNET C-SRNWP Model Manager and SRNWP Expert Team members, including members located in European countries outside the EEA, for the purposes of coordinating event participation and presentations.

Name and organisation details will also be shared with Reads Design & Print (Ireland), a commercial printing provider, solely for the purpose of preparing in-person attendee name badges.

Personal data may be shared with other government departments, local authorities, agencies under the aegis of the department, or other public bodies, in certain circumstances where this is provided for by law.

Cross-border data transfers

Transfer of your personal data may occur outside of the European Economic Area (EEA). Where it is required to do so, we will only transfer the data when an adequate level of protection to the treatment of your data is ensured.

How long will your data be kept?

The Department will only retain your personal data for as long as it is necessary for the purposes for which it was collected and processed. In line with legislative and business requirements, the data retention period for your personal data, in this instance, it will be retained for up to 6 months after the event, after which the data will be securely deleted.  Any retention beyond this period, for reporting or compliance purposes, will be documented and managed in accordance with the Department’s records management guidance.

Your rights

The Department’s Data Protection Policy is available on our website and is also available in hard copy upon request. This policy sets out how we will use your personal data, as well as providing information regarding your rights as a data subject (including details regarding right of access, right to rectification, right to erasure, right to restriction of processing, right to object).  If you consider that your rights have been infringed, you have the right to complain to the Data Protection Commission (www.dataprotection.ie), and you have the right to seek a judicial remedy.
